VOLLEYBALL TOURNAMENT DETAILS

Location:

A majority of the volleyball matches will be played inside Doden Fieldhouse, at Cedarville University (Cedarville, OH).  This year, for the first time, some volleyball matches will also be played inside the Wooden Family Fiedhouse (on the campus of Athletes in Action in Xenia, OH).  Directions are available HERE.

What You Need to Provide:  

  • Medical Waiver Forms – The parent / guardian of each player MUST complete an online Athlete Waiver Form.  No player will be permitted to participate in any NCSAA tournament if NCSAA does not have a completed, current, and valid form on file for that player.  Please make your players and their parents aware of this requirement now, so that they can begin going online and submitting their forms.  All forms must be submitted by 11:59 PM on Thursday, October 17.  You can access the Athlete Waiver Form by clicking HERE.
  • Scorebook Keeper – You’ll be responsible for providing one person to keep your team scorebook during each of your matches.  Please have that person check in at the scorer’s table, with your team’s information completed in the scorebook, at the end of the preceding match.  Thanks for helping us in this way!  If this presents a major problem for your team, please call us right away.
  • Volleyballs – You’ll need to bring your own balls for warm-up, and we will use one of the teams' best balls for play during each match.
  • Water Bottles – You’ll be responsible for bringing your own filled water bottles to the gym.
  • Medical Supplies – We will have an athletic trainer on site at the facility, but you will be responsible for bringing your own medical supplies (general team medical kit, athletic tape for being taped up, etc).  Athletic trainers will not be supplying athletic tape to athletes that need it; please be sure to bring your own.
  • Players to Work Scoreboard / Line Judging (when you are not playing) - During your team's breaks between your matches, you'll need to provide some players (usually four, occasionally maybe more) to assist with keeping a scoreboard and line judging for other matches.  We will provide a schedule for when each team will be "working" other matches, at your coaches' meeting.  (You'll also receive this by e-mail once we have the schedule ready.)  Thanks for preparing in advance for this!  Feel free to give us a call with any questions regarding this.  Please plan to be at the tournament by the start of play for the first pool play matches on Thursday, so that you will be prepared to "work" all matches for which your team is scheduled.  Thanks!

Making Your Payment:

If you have not already submitted your team entry fees for this tournament, you can submit your fees via the payment link below.

Each team also must submit Individual Athlete Fees for each of their athletes.  Individual athlete fees are due by Thursday, October 17Individual athlete fees that are paid late (or brought to be paid at the tournament) will be assessed a $50 late fee.

Individual athlete fees are $25 per athlete.

Registration / When You Arrive:

Coaches must arrive early enough to attend their assigned Coaches Registration Meeting on Thursday.  These are required; coaches MUST attend the correct registration meeting, corresponding to their first Thursday match time:

All 9:00 AM match times - Coaches arrive for 7:45 AM registration meeting.
All 10:00 AM match times - Coaches arrive for 8:45 AM registration meeting.
All 11:00 AM match times - Coaches arrive for 9:45 AM registration meeting.
All 12:00 PM match times - Coaches arrive for 10:45 AM registration meeting.
All 1:00 PM match times - Coaches arrive for 11:45 AM registration meeting.
All 2:00 PM match times - Coaches arrive for 12:45 PM registration meeting

All Coaches' Registration Meetings will be held at the registration table inside the entrance to Doden Fieldhouse (at Cedarville University) or the registration area inside Wooden Family Fieldhouse (at the Athletes in Action Sports Complex).  Please be sure that your head coach is on time for this important meeting; if you don't arrive on time, you will be required to stay later, and you'll be delayed from getting to your court on time for your match (which may lead to a forfeited match).  Thank you for making this a priority!

At these meetings, on-site tournament registration will take place...and you will receive your coaches' packets (very important!) and final schedules (reflecting any recent changes), verify that all of your athletes are eligible to participate, and be provided with important tournament information.  Again, these meetings are mandatory...so please allow extra travel time to be sure that you arrive on time for your scheduled meeting...Thank you!

Schedule:

The detailed tournament schedule will be available on or before Friday, October 18 (as long as all teams submit their rosters / seeding information / scores by the stated deadlines).  We will send an e-mail out to all athletic directors and coaches, when the schedule has been published.

Match results will be posted online throughout the tournament, so that your athletes' families and other fans can follow the results of the tournament via an online link that we will provide to you.

Tournament Livestream:

An exciting addition to the tournament this year will be a livestream broadcast of most (if not all) tournament matches, provided by BallerTV.  For more details about the livestream broadcasts and how to make them available to your families and school community, click the graphic below:

Match Start Times:

The times listed on the tournament schedule are the start times for the matches.  In order to keep the tournament on schedule, we must begin each match on time.  If your team is late for your scheduled match, you may be required to forfeit the match.   Please plan to arrive early for each of your matches.

Each team will receive a full warm-up period (5-5-2) before their first match of each day; warm-up periods will then be abbreviated (3-3-1) throughout the rest of the day.

Match Play Specifics:

Girls in grades 7-12 are eligible to participate.

The tournament format will be Pool Play (eight pools of 4 teams each, with one additional six-team pool), with Divisional Play (5 or 6 divisions) to follow.  More details about specific pool and division play format will be provided when the schedule is released.

All matches will be best-of-three.  Rally scoring will be used; each game will be played to 25 points (must win by two points).  In the third game of best-of-three matches, the final game will be played to 15 points (must win by two).

Thursday (and some Friday) matches will be Pool Play.  Placement in pool will be determined by overall record (number of matches won and lost) within pool.  In the case of a two-way tie within a pool, the tiebreaker will be head-to-head result (and head-to-head match record ties will be broken by game differential, then overall point differential, then coin toss).  In the case of a tie between three or more teams, the tiebreakers will be 1) total record against other tied teams, 2) fewest games lost against other tied teams, 3) fewest games lost in all Pool Play matches, 4) point differential in all Pool Play matches, then 5) coin toss.

Ensuing Friday and Saturday matches will be Divisional Play, with teams broken out from Pool Play finish into divisions.  More details about specific pool and division play format will be provided when the schedule is released.

AGE ELIGIBILITY:  A student-athlete shall be ineligible for participation upon attaining the age of nineteen years, with the following exception: if the age of 19 is attained on or after July 1 preceding the current school year, the student-athlete shall be eligible, age-wise, to compete through that school year.  No student-athlete may participate after graduating from high school (no post-graduate players).  If you need to discuss any potential age eligibility exceptions, please contact NCSAA in advance of the tournament.

Match play and other matters will generally follow NFHS rules.  If you have any questions regarding match play or any other matters concerning this tournament, please contact NCSAA in advance of your arrival at the tournament, and/or discuss those matters with the tournament officials before you play.  Thanks so much!

Closing Ceremonies and Awards:

After you play your final match in the tournament, our staff will hold a short ceremony at your court (to distribute awards, recognize your seniors, and pray with your teams).  Please plan to stay at your court for that ceremony immediately after your match.  (If, for any reason, your final match is not a final round match -- there may be some cases where your opponent will be moving on to another match -- our staff will meet your coach after the match to provide you with any senior gifts, etc.)

The first-place and second-place teams in each division will receive NCSAA championship and runner-up banners.  A special gift from NCSAA will be presented to your team's senior players (if your roster was submitted on time).

All-tournament team awards are also available for your coaches to present to the top performers on their teams.  Coaches will use the all-tournament selection sheet enclosed in their coaches' packets to select all-tournament players from their teams.  Coaches, please be sure to return this sheet to us at the end of the tournament, so that we can provide you with all-tournament awards for your players -- and so that we can publish your team's all-tournament selections online.

NCSAA Coaches’ Award:

The NCSAA Coaches' Award will be presented to players throughout the tournament.  These awards will be given by the coaches of the participating teams, as a way to recognize and encourage athletes who demonstrate noteworthy effort, leadership, encouragement, integrity, humility, courage, grace, and other qualities of Biblical discipline in their play.  This program allows us to encourage coaches to be intentional in “building into the lives” of the players who are competing in the event.

Admission:

There is no admission fee at this tournament.  We welcome your fans to attend and support the teams!

Team Devotions / Thursday Evening Team-Building Program:

We will be holding the annual Thursday Evening Team-Building Program again this year (on Thursday at 8:00 PM, in the Wooden Family Fieldhouse, on the campus of Athletes in Action).  This will include a fun Game Show Night (with prizes) for all teams, and Micah Ramsey (NCSAA chaplain) will be the devotional speaker.  Directions to the Athletes in Action campus are provided HERE.

We encourage your team to join us for this important time of fellowship, fun, and spiritual challenge!  This is a significant part of the NCSAA tournament experience -- so, coaches, please bring your teams to this evening event!

Tournament T-Shirts:

Official 2024 NCSAA Soccer and Volleyball Championships T-shirts are being sold via a pre-order sale before the tournament.  If your team orders t-shirts, we'll have those available for pick-up at the registration table when you arrive.  (Your athletic director will have received information, by e-mail, about how to pre-order tournament t-shirts.)

There is limited availability for lodging in the dormitories at the Athletes in Action Retreat Center.  These dorms are available on a first-come, first-serve basis, and meals packages are also available.  Contact Monica Gorman at monica.gorman@athletesinaction.org to book your team's rooms and / or meals.
